Job Specific Information :
This position is based in Helena at the FWP Headquarters. Alternate work locations may be considered on a trial basis after completion of the 1-year probationary period. Works with all Wildlife Division staff and several programs.
Typical 40 hour work week between 8 am and 5 pm. Will be expected to work 1-2 hours on alternating weekends and holidays maintaining the mandatory harvest reporting database, updating the harvest status phone line and website, and initiating season closures.
Must become knowledgeable and effectively communicate with the public and staff about hunting regulations and various wildlife programs.
This position maintains numerous databases and provides data management support to all Bureaus in the Wildlife Division, including Administration, Management, Habitat, Nongame, Research, Access, and operations, so the incumbent in this position must be organized and versatile. The information contained in these databases is under constant scrutiny, so accuracy and efficiency is paramount.
Oversees, maintains, keeps current, and generates reports from several Wildlife Division databases. Assists in the development and maintenance of complex informational, statistical, and permit databases. Works with Application Development and regional staff to report, provide technical assistance, and determine priority of enhancements or bugs. Periodically review and communicate standard operating procedures and provide training to staff on use of various databases to ensure data is efficiently and accurately entered. Performs data queries, summarizes data for annual reports, and performs quality assurance reviews of data to ensure accuracy. This position also performs other tasks as necessary in order to provide administrative support and assistance benefiting the public and the Division including answering public inquiries through phone and email communications.
KNOWLEDGE : The person in this position must have extensive computer skills including expert knowledge of software including Word, Excel, PowerPoint, Adobe Acrobat, Outlook, and networking software. Experience with GIS databases is desirable. The position must be knowledgeable of administrative and management principles; have experience with office practices and procedures; be able to organize and prioritize workload; readily accept direction and supervision; and learn new procedures.
SKILLS: This position must be able to communicate effectively and professionally to provide customer service and be able to establish and maintain effective working relationships with department personnel and the public. The position must be capable of accepting and working under general supervision and make efficient use of work time with an ability to re-focus on the tasks at hand and meet deadline requirements while coping with frequent interruptions.
ABILITIES: This position must be able to work in Excel, Word, Access, and Adobe Acrobat with the ability to learn In Design and other computer programs as necessary. Additionally, must be able to understand and manipulate a variety of databases.
The position must be able to interpret state and department laws, regulations, rules, and policies with regard to wildlife management and effectively communicate this information to the public in a courteous and professional manner.
Minimum Qualifications (Education and Experience)
The knowledge, skills, and abilities of this position are normally attained through combination of education and experience equivalent to 2-year job-related college or vocational training and at least 1 year of job-related work experience. Other combinations of education and experience will be considered on a case-by-case basis.
